The data controller for the event is Huawei Technologies Austria GmbH., a Huawei company registered in Austria, Wagramer Straße 19, 1220 Vienna (hereinafter referred to as "Huawei", “we”, "our" or "us")

This Privacy Statement applies to the processing of personal data of our media contacts, clients, channel partners, operator partners, print and online journalists, freelance journalists, bloggers, vloggers and KOLs, who we may invite to our press conferences, exhibitions, interviews, business summits, press trips or other events held by or for Huawei or attendance upon invitation of Huawei (collectively “you” and “your”).

As a company we are committed to safeguarding your privacy with the utmost care and, in compliance with the law. Please take time to read this Privacy Statement carefully to understand how we use and process your personal data.

1. What data we collect, for what purpose and how?

To invite you to the event, preparing the list of invitees and issuing of invitations

  • phone number.
  • email address.
  • postcode and postal address.

Our legitimate interest in organizing events aimed at maintaining pleasant relationship with invitees, introducing our products and engaging with customers and media.

In case you entrust us with your travel arrangements, to make visa application, invitation letter, transportation and accommodation booking, and event ticket purchase, etc.

  • name and surname;
  • gender.
  • birthday date.
  • nationality.
  • flight or other transportation details, accommodation details.
  • passport/ID information, including copy of the information page.

Our legitimate interest in planning for the trip that invitees have agreed to undertake, and facilitating your access to the premises.
The processing of passport/ID information which might reveal sensitive data is subject to your prior consent.

In case of pre- communication is needed before the event, to contact you in advance to organize interviews and meetings.

  • name and surname.
  • company/organization/entity/academy name.
  • career and job title.
  • career biography.
  • publications, public social media presence, including social media handle and profile.
  • previous engagement with, and coverage of, Huawei.

Our legitimate interest in setting up pre-communication sessions for preparation of the event.

To post event photos and videos on our official website or social media after the event.

  • photos, audios, videos, or audio-visual recordings.

Our legitimate interest in promoting the event and products.
By attending this event, you grant Huawei the usage of your image, name, voice and other identifying characteristics in connection with the event in all and any media, including, without limitation, in the printed publications, presentations and promotional materials, in the advertising of products and services and on our official website and social media.
If you do not want to be photographed or recorded, you can choose not to be present when the photographs are being taken or the recording occurs, or to contact us.

To meet your special requirements.

Our legitimate interest in safeguarding the health and safety of the event.
Nevertheless, the processing of your sensitive data is subject to your prior consent

To comply with our legal obligations, such as when we need to respond to authorities’ orders according to law (e.g., in court proceedings).

Legal obligation. We may disclose personal information or other information we collect about you to law enforcement if required in response to a valid subpoena, court order, search warrant, a similar government order etc.

The source of the personal data

In the context of the organization and management of invitation or visits, at the invitation of Huawei, and in order to obtain the necessary visa for your stay, you are required to communicate a certain data to us.
We collect this data either directly from you (where you interact with us or our agency directly), or from public sources such as your employer’s publication, your social media profiles, and databases aggregating those sources.
Some of the information required will be mandatory and be marked as such, others may be facultative. If you choose not to provide this mandatory information, you may not be able to participate in the event offered by Huawei.

2. How we share your data?

(1) Huawei group companies: we have activities and premises in various countries including outside of EEA which may organize such visits and event; if setting up a trip to our headquarters in China, or an interview with one of our Chinese executives, we may share your personal data with our affiliate company (Huawei Device Co., Ltd); we also have IT management systems as well as events, travelling and accommodation support, which are hosted and managed by our affiliate company (Huawei Technologies Co. Ltd.)

(2) Authorised agencies: We may hire agencies to organize the event and invite you on behalf of Huawei; we may also engage travel service provider to obtain the necessary visa, and to book transportation and stay for your business trip.

(3) Legal or regulatory disclosures: Huawei may share your personal data to meet requirements of applicable law and regulation, in response to requests from regulators, courts or government agencies, or to establish or defend our legal rights.

(4) Business reorganisation: Your personal data may also be disclosed as part of merger, acquisition, sale of assets (such as service agreements) or transition of service to a Huawei group or other company.

We store and process your data in the EEA. Huawei complies with all applicable legal requirements to safeguard your personal data transferred outside of the EEA. To share data within our corporate group, we enter into EU standard contractual clauses when personal data is transferred to countries outside the EEA to ensure that an equivalent level of data protection is provided for your personal data even if EU data protection law is not directly applicable. 3. How long we retain your data?

We retain your personal data for up to a maximum of 2 years after the event or trip, to enable us to share content with you following the trip or event, and for internal reporting purposes to keep track of our activities and for referencing capacity in regard to future projects.

Exceptionally, passport or ID card copies, and health or medial data where required, are only kept for a period necessary for the application of visa or for travel arrangements. This information will be deleted immediately after such arrangements are made, and retained no longer than twelve (12) months.

Your photos and videos published on our website and social media accounts and other media will be retained for the time necessary to pursue the legitimate interest mentioned above, you have the right to request erasure of your personal information via our Data Subject Right Portal below any time.

4. Your rights as a Data Subject
